Ma5zon ERP: Inventory Control and ETA E-Invoicing Readiness

Ma5zon is an Arabic ERP for Egyptian distributors: stock across warehouses, reps, collections and costing, and how to make inventory data ETA-ready.

Ma5zon (مخزون, at makhzon.store) is an Arabic-first ERP for distribution, wholesale, light-manufacturing and contract-manufacturing companies in Egypt. It puts stock across warehouses, sales and distribution, collections and real product cost in one system. It matters for ETA e-invoicing because every electronic invoice is built from your item, customer and sales data. If that data is clean in your inventory system, e-invoicing becomes a configuration task, not a clean-up project.

In short. Ma5zon is one of the SaaS products in the Mindshift portfolio. Use it when stock, reps and collections live in spreadsheets and WhatsApp. For e-invoicing, the Egyptian Tax Authority (ETA) is the source of truth; confirm requirements with your accountant, and ask any ERP vendor, Ma5zon included, to show e-invoicing working on your own invoices.

If you are still defining what your business needs from an ERP, start with Mindshift's ERP requirements questionnaire. It walks through finance, inventory, sales, operations, reporting and integrations, and leaves you with a written brief you can hand to any vendor.

What Ma5zon ERP does today

Everything in this section is described on the Ma5zon homepage. We list nothing the product does not say about itself.

Area What Ma5zon describes Why it matters
Stock Real-time stock across branches and warehouses: available quantity, transfers, slow-moving items and reorder points You see shortages and overstock before they cost money
Sales and distribution Customer orders turned into distribution plans, with sales rep tracking Reps stop promising stock that was already sold
Collections Collections recorded in the same flow, without separate Excel files You know who owes what before the next order ships
Customers Customer and receivables management Credit limits become a rule, not a memory
Manufacturing cost Materials, operations, waste and packaging costed per item, including outsourced manufacturing You see the real margin on each product
Reports Management dashboards for profit, sales and stock The owner stops asking for screenshots

The modules on the site are products and warehouses, sales orders and collections, customers and receivables, outsourced manufacturing and costs, sales reps and distribution, and financial and operational reports. The site describes starting with the core modules and adding more as the company grows, and offers a free start.

The problem it solves: stock that nobody trusts

Most growing Egyptian distributors run on three tools at once: a notebook, WhatsApp and Excel. Each works on its own. Together they break the moment you add a second warehouse, a fifth sales rep or a contract manufacturer.

The symptoms are familiar:

  • The warehouse sheet and the sales sheet show different balances for the same product.
  • A rep confirms an order for stock that left the building yesterday.
  • Two customers are over their credit limit, and nobody finds out until month-end.
  • The owner does not know the real cost of a product once packaging, waste and third-party manufacturing are included.
  • Invoices are typed from a separate list, so they drift away from what was actually shipped.

Inventory problems never stay in the warehouse. They become cash-flow problems, customer-service problems and, once e-invoicing is involved, compliance problems.

Where ETA e-invoicing fits

Egypt's e-invoicing system is run by the Egyptian Tax Authority. Under it, business-to-business invoices are issued as electronic documents and submitted to the ETA, and the technical rules live in the ETA e-invoicing SDK. That documentation describes signed documents, coded items (GS1 or EGS codes) and structured customer and tax data.

Whether and when the obligation applies to your company is a question for your accountant or tax adviser and the ETA itself, not for a blog post or a software vendor.

What we can say with confidence is where the work sits. An e-invoice is only as good as the data behind it:

  1. The item master. Every product needs one name, one unit of measure and one item code, used the same way in the warehouse, in sales and on the invoice.
  2. The customer record. Tax registration details must be stored once and reused, not retyped on each invoice.
  3. Sales that match shipments. The invoice should come from the order that was actually delivered, so quantities and prices match what left the warehouse.
  4. Returns and credit notes. Refused or returned goods need to flow back into stock and into the tax record the same way.

A company with clean stock and sales data can connect to e-invoicing with far less pain. A company whose items have three names in three sheets will spend months cleaning before the first valid submission.

Ma5zon and e-invoicing: what to check

The Ma5zon homepage does not currently list ETA e-invoicing among its modules. So here is the honest position: Ma5zon's described strengths are the inventory, sales, collections and costing data that e-invoicing depends on. If e-invoicing is a requirement for you, ask the Ma5zon team to demonstrate it on your own products and customers before you decide. Ask the same of any other ERP.

When you run that demo, test these five things:

Check What good looks like
Item codes Each product carries its tax item code once, and invoices pick it up automatically
Customer tax data Registration details are stored on the customer and validated before the first invoice
Order to invoice An invoice is created from a delivered order, not typed from scratch
Returns A return updates both stock and the tax document
Status visibility You can see which invoices were accepted, rejected or are pending, and why

For a deeper checklist from the product side, read Ma5zon's own ETA e-invoicing ERP guide.

Ma5zon compared with the usual alternatives

Most companies searching for Ma5zon are also looking at a spreadsheet setup they already have, or a broad ERP such as Odoo.

Option Strong when Watch out for
Excel and WhatsApp You have one warehouse, a few reps and a disciplined owner Balances drift, credit limits slip, invoices are retyped
A broad ERP suite You need many departments in one system and have a partner or in-house team to configure it Long setup before warehouse staff and reps use it daily
Ma5zon Stock, reps, collections and product cost are the daily pain, and you want an Arabic system you can start with quickly Confirm any module you need that the site does not list, such as e-invoicing

Ma5zon's own Odoo alternative guide goes through that comparison in more detail, including when Odoo is still the better choice.

How to roll it out without stalling

The rollouts that work move one painful workflow first, then expand:

  1. Count your stock. Opening balances that are wrong make every later report wrong.
  2. Clean the item list. One name, one unit and one code per product. This is the same work e-invoicing will ask of you.
  3. Move one workflow. Usually rep orders and collections, because that is where cash leaks first.
  4. Train the people who type. Warehouse keepers and reps, not only managers.
  5. Review one report after four weeks. Stock difference at the next count, overdue collections and orders shipped over a credit limit.

How Mindshift helps

For ERP projects, our role is to help you define requirements before you buy, map your operations, and connect the system to the rest of the business: reporting, onboarding and the campaigns that depend on knowing what is in stock. FAQ

What is Ma5zon?

Ma5zon (مخزون) is an Arabic-first ERP at makhzon.store for distribution, wholesale, light-manufacturing and contract-manufacturing companies. It covers stock across warehouses, sales and distribution, collections, customer receivables, product costing and management reports.

Does Ma5zon support ETA e-invoicing?

The Ma5zon homepage does not list ETA e-invoicing today. Its described modules cover the stock, sales and customer data that e-invoicing relies on. If you need e-invoicing, ask the team to demonstrate it on your own invoices before you decide.

Is Ma5zon only for warehouses?

No. It is built for companies where stock, sales reps, collections and product cost have to agree with each other, which includes distributors, wholesalers and manufacturers that pack or produce through third parties.

Do I need to clean my inventory data before e-invoicing?

In practice, yes. Every e-invoice carries item, customer and tax data. If products have several names, units or codes across your sheets, fix that first, whichever system you use.

Who confirms whether e-invoicing applies to my company?

The Egyptian Tax Authority and a qualified accountant or tax adviser. Software vendors and agencies can help you prepare the data and the workflow, but not decide your obligations.

How do I start?

Write down your requirements first. Mindshift's ERP requirements questionnaire helps you do that, and the Ma5zon site offers a free start if you want to test it on real orders.
